Privacy Policy

TrafficForms is a service operated by Pelox Trading 71 CC, registration number 2010/008527/23 ("we", "us", "our"). This policy explains what personal information we handle when you use TrafficForms, why, and your rights under the Protection of Personal Information Act, 2013 (POPIA).

We designed TrafficForms to hold as little of your information as possible. In particular, we do not keep the documents you upload.

What we do with the documents you upload

To fill a form, you upload documents (such as an ID or vehicle documents) so we can read the information needed to complete that form.

We do not retain your uploaded documents. They are used only to extract the information required for your form, and the uploaded files are deleted immediately once extraction is complete — whether it succeeded or failed. As an additional safeguard, an automated process runs regularly to remove any file that a technical interruption might have left behind, so uploaded documents do not persist on our platform.

The completed form

When you download a completed form, the file is generated and sent directly to your device. We do not store the completed PDF on our servers.

While you are preparing a form, we temporarily generate watermarked preview images so you can check the form before downloading. These preview images are automatically deleted after 30 minutes.

What we do keep

So that the service works and you can return to review, edit, or re-download a form you have prepared, we keep the following, each tied to your account:

• The information extracted for a specific form and any edits you make to it (held per form, not combined into a general profile).
• Your account details: your email address and account type (individual or business), and a record of your POPIA consent and its date.
• Your credit and payment history: a ledger of credits granted, purchased, and used. This is kept as a financial and audit record.
• Basic usage events used to understand how the service is performing. These contain no document content, no names, no extracted information, and no ID numbers — only anonymous event and form-type data.

We keep this information until you delete it or ask us to, except where we are required to retain financial records by law.

Your right to erasure (POPIA Section 24)

You can delete a form record you have prepared at any time from within your account — this permanently removes that record and the information extracted for it. If you would like your entire account and associated data removed, contact us at info@trafficforms.co.za and we will action it, subject to any financial records we are legally required to keep.

Who we share information with

We do not sell your personal information. To operate TrafficForms, we use trusted third-party service providers to process payments, host our systems, extract information from your documents, and monitor technical performance. These providers process your information only as needed to provide their service to us, under their own security and privacy obligations. Some may process data outside South Africa, where we rely on their contractual and technical safeguards.

Security

Uploads are transmitted over encrypted connections and stored in a private, access-controlled space for only as long as extraction takes. Your card details never touch our systems. Access to your account data is restricted to you through secure authentication.

Children

TrafficForms is intended for adults completing official forms. It is not directed at children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "last updated" date above.
